COVID-19 SAFETY PLAN

POSTPONEMENTS or CANCELLATIONS

 

POSTPONEMENT – Government enforced

 

  • You can postpone IF Australian Government restrictions directly affect the couple getting married (not guests)

  • Your deposit will transfer to a new date within 12mths of your original wedding date. All vendors must be available. Mon – Thurs bookings only.

  • Your “intent to marry” legals are valid for 18mths, if this lapses there is a $250 re-lodgement fee

  • You are subject to package price increases if your new wedding date falls in the next year  (ie: 2021 booking to 2022)​

 

POSTPONEMENT – by choice

 

  • If you choose to postpone and there are no Government enforced restrictions that apply to the couple getting married

  • If you choose to postpone normal contractual agreements ie: cancellation policy

  • If you choose to postpone there is a $250 admin and wedding coordination fee

  • Your original $500 retainer is non-refundable and a new retainer of $500 is required to book a new date

 

CANCELLATIONS

 

  • Normal contractual agreements apply

  • Strictly non-refundable retainers

  • If you choose to postpone with less than 90 days you are liable for 50% of the full invoice amount

  • If you choose to rebook it will be treated as a new booking

 

​HOW TO CANCEL OR POSTPONE

 

  • Send an email with a formal request to love@luxeelopements.com.au

  • You will receive a Cancellation or Postponement Contract to sign 

  • You will need to supply a link to the Government page supporting restrictions 

  • Upload photocopy of both of your driver’s license with current address

BOOKING TERMS AND CONDITIONS

 

Can I postpone?

Yes, if Australian Government restrictions affect the Bride and Groom (only). If it is a personal choice normal contractual obligations apply ie: you will forfeit your deposit and a new deposit is required to secure your new date 

 

How does postponing work? 

If  Australian Government restrictions affect your elopement travel you can reschedule to a new available date within 12 months using the same $500 deposit with Luxe Elopements. You can only reschedule once. Individual vendor fees may apply and new package pricing may apply. 

 

WHAT HAPPENS IF SOMEONE IS UNWELL OR HAS A HIGH TEMPERATURE ON THE DAY? 

 

Vendor – we will provide a replacement vendor 

Guest – they will not be able to attend the ceremony and our team will not be able to perform services (ie: Hair and makeup) at that accommodation location. The wedding couple will need to organise a new location to perform services. We will not cancel or postpone a wedding due to guest(s) being unwell.

The Couple – the Luxe Elopements team and associated vendors have the right to stop services immediately. The client is liable for full contract invoice amount with no refunds made. If the booking client wants to reschedule a new booking will be made.

 

ON THE DAY 
  • Vendors may wear a mask 

  • Vendors may choose not hug, kiss or touch the couple or guests 

  • Vendors will sanitise their work stations and equipment between clients 

  • Vendors will aim to maintain 1.5m social distancing

  • Vendors are no longer allowed to transport the couple or guests in their private vehicles

  • If your ceremony is at a council-approved public location and it is closed, our team will endeavor to find a new ceremony location between the Tweed Coast, Tweed Hinterlands and Byron shire. Our partnered venues may charge a venue hire fee to the cost of the booking client. This does not warrant cancellation or postponement.

 

This contract may change and be updated at any time according to the Australian Government, NSW Government and Local Council. 

PART 1

Couples responsibility: 

 

WELLBEING OF ATTENDEES
  • Ensure your guests are aware they should only attend if they are feeling well and do not have any respiratory or COVID-19 symptoms.

  • Ensure you and your guests are not subject to any travel restrictions or are not in breach of any quarantine measures.

  • It’s important your guests know they don’t attend if they are feeling unwell and encourage them to get tested.

  • If a guest has symptoms and asks if they should attend your wedding, encourage them to see their GP or attend a local fever clinic.

  • If you have guests who are at high risk of developing COVID-19 complications such as elderly people or people with conditions affecting their immunity, consider discussing the option of not attending.

  • Think about ways your guests can be involved through a video broadcast or live stream if they can’t attend due to illness or travel restrictions.

  • People from postcodes that have been prohibited to travel must NOT attend.

 

3.   PHYSICAL DISTANCING 

 

  • Capacity must NOT exceed one person per 4 square meters (this excludes the couple and service providers). This applies to your accommodation for Hair and Makeup services or Venue

  • Solo singer or live music at the ceremony, no wind instruments, extra room for additional singers (performer must be at least 3 meters from other people).

  • Consider seating guests from the same household next to each other, to make it easier to fit everyone safely together.

 

4.   HYGIENE AND CLEANING 
  • Consider alternatives to physical gifts or wishing wells, such as online gift registries, direct delivery or electronic funds transfer.

  • Think about how other hygiene risks could be minimised, such as not sharing food or making sure people can remember which glassware is theirs.

  • If you would like a guest book, consider asking guests to bring their won pen, or have a plan to clean any shared pens and the area around the book in-between guests signing and have sanitiser available. Consider alternatives like a digital guest book that can be filled in from home.

 

5.   RECORD KEEPING
  • Luxe Elopements will need to keep a record of guests who attend, including a full name and mobile number and/or email address for 28 days after your ceremony. If there is a guest at your wedding who gets diagnosed with COVID-19 public health will as that you provide this record to assist with contact tracing.

  • Encourage your guests to download the COVID safe app to support contact tracing if required.

 

6.   OUR COMMITMENT TO YOU
  • Our vendors all have young families we have developed a COVID Safe plan for you and your guests to ensure everyone’s health and safety.

  • All Luxe Elopements vendors have undergone COVID safe training. We have developed an overview so you can see how we will be approaching all aspects of your day

 

 

PART 2

Luxe Elopements – On The Day

What to Expect on the Day: HEALTH AND SAFETY
 
If anyone feels unwell you are required to notify us as soon as possible. 
 
  1. If a guest, group of guests and/or have come into contact with someone who has tested positive to or suspected of having COVID-19 the elopement can still proceed, however with only the couple being married (if they have had no contact with the guests or infected person(s)).
  2. If the couple being married is unwell and/or has come into contact with someone who has tested positive or is suspected of having COVID-19 the elopement will not go ahead. 
 
TRAVEL AND TRANSPORT
  • Be aware that the Gold Coast Airport is on the Queensland side of the boarder. Therefore you and your guests will require a Queensland Boarder Declaration Pass to re-enter Queensland in accordance with the Boarder Restrictions Direction (No 8) (https://www.qld.gov.au/border-pass). 
  • We recommend that you and any guests arrive at least one day prior to your elopement to allow for travel time, daylight savings (Daylight Savings NSW Calendar), or delays in crossing the boarder.
  • The photographers and videographers will not be able to transport the wedding party in their own vehicles.
 
HAIR AND MAKE UP
  • If you are utilising our services we will be using different brushes for each different guest having their make-up done. 
  • Any surfaces that are touched will be cleaned with a detergent or disinfectant solution or wipe between each guest. 

 

POST CEREMONY
  • Guests will be encouraged to give a ‘cheers’ to the couple (instead of a hug).

PART 3

You Agree

 

Due to the COVID-19 Pandemic, it is necessary to in place additional conditions/restrictions for our elopements conducted by Luxe Elopements. These conditions will vary as the pandemic circumstances evolve and the Commonwealth and State Government review the restrictions. 

You agree:

  1. That you have entered into this agreement with Luxe Elopements at a time where government regulations and/or directions on restrict numbers of people in groups and regulate behaviour by requiring social distancing specifically at events such as wedding.

  2. It is your responsibility to;

    a) Brief guests on the current COVID-19 directions before and at the time you book your Luxe Elopement.
    b) Personally observe conduct of all persons invited by you to the ceremony, to ensure compliance with COVID-19 restrictions.

  3. If Commonwealth and/or State Government restrictions prevent your elopement;

    1. You will be able to postpone on one occasion within a 12-month period and within the original contract terms and conditions (i.e. on a weekday) and depending on all vendors availability.

    2. Your deposit is transferable for one postponement. A fee will be incurred by the couple for second transfer or postponement.

    3. Package Price and Fees are subject to change at the beginning of each year.

  4. To provide phone numbers and emails of all guests in attendance for contact tracing purposes.

  5. To yourselves and guests being temperature checked by a contactless thermometer prior to attending or interacting with other guests or vendors.

  6. To pay any cost incurred in extra cleaning before and after your use of equipment, if required.

  7. That you will indemnify us against all actions, claims, demands, losses, damages, costs and expenses which we may sustain or incur or for which we may become liable whether during or after your elopement, in respect of or arising from any loss, damage or personal injury to any person caused by a failure to observe COVID-19 restrictions by the neglect or default by you or any invitee.

  8. If any part of these terms and conditions are held by a Court that any part is void, voidable, or unenforceable, that part will be severable from and will not affect the continued operation of the rest of the terms and conditions.
